Manage users

Add, edit, and deactivate people in the directory.

The user directory lives under Settings > Users. Anyone with the Manage users permission can add people, edit their details, resend invitations and deactivate leavers from here. Each person you add is invited by email to set their own password before they can sign in.

Add a person

Choose Add user and fill in the essentials: first name, last name and email. From there you set how the person fits into the workspace:

  • Software role: what they can do in Ferio (see Software roles and permissions). Defaults to Employee.
  • Company role: their job title, which also carries a leave mode (see Company roles and PTO modes).
  • Team and, optionally, whether they lead it.
  • Country profile and work schedule, which drive holidays and working-day counting.
  • Hire date plus optional HR data such as date of birth, number of children and prior experience. These feed quota bonuses, so fill them in where they apply.

On save, Ferio creates the account with a placeholder password and emails an invitation with a set-password link. The person picks their own password from that link; until they do, nobody can sign in as them.

Bringing in a whole team at once? Skip the one-by-one form and use Import users from CSV instead.

Edit details

Open any row to edit it. You can change names, software role, company role, team, country profile, work schedule and the HR fields. When a change affects quotas (date of birth, children, career start, country profile or termination date), Ferio recomputes this year's balances straight away. Structural moves such as a new country profile, role or team also send the person an email so they know what changed.

Resend an invitation

If someone has not signed in yet, their row offers Resend invitation. This cancels the previous set-password link and emails a fresh one. You can also resend to an active user as a password-reset shortcut. You cannot resend to a deactivated user; reactivate them first.

Deactivate a leaver

Deactivating a user blocks sign-in but keeps all of their records for reports and the audit log. Select one or more people and deactivate them in one action. You cannot deactivate your own account this way. When someone is leaving on a known date, set a termination date instead so their final balance is settled; see Termination and offboarding.
