Leave configuration

Leave types

Paid or unpaid, approval, document policy, quota type and carry-over.

A leave type is one bookable kind of absence: annual leave, sick leave, study leave, unpaid leave, and any other your company needs. Each type carries its own rules for pay, approval, proof and how it draws down a balance. Editing leave types needs the manage leave types permission, under Settings, Leave Types.

Tenant-wide or per country profile

A type can be shared across the whole workspace, or scoped to a single country profile so only people on that profile see it. Each country profile also carries one protected default type (its annual-leave base): it cannot be deleted, its code is locked, and it is the only type that receives the country-profile bonuses. See Set up country profiles and Quotas and entitlements.

Core settings

When you add or edit a type you set an English and a Hungarian name, a short code, a colour, and these rules:

  • Paid: whether the absence is paid or unpaid.
  • Requires approval: on means a request waits for an approver; off records it straight away.
  • Document policy: whether proof is needed, and when (see below).
  • Quota type: how the type draws down a balance (see below).
  • Carry-over: allow unused days to roll into next year, with an optional maximum.
  • Active: inactive types stop appearing on new requests but keep their history.

Document policy

Set whether a request needs a supporting document, and the deadline to upload it. Leave the deadline blank to use the system default.

PolicyWhat it meansDefault deadline
NONENo proof required.Not applicable
UPFRONTProof expected around the request; the window starts the day after approval.7 days
RETROACTIVEProof expected after the leave ends; the window starts the day after the end date.14 days

Quota types

The quota type decides whether the leave counts against an allowance.

Quota typeBehaviour
ANNUALDraws from a yearly allowance. Set the annual days on the type.
UNLIMITEDNo cap; requests are tracked but never exhaust a balance.
EVENT_BASEDGranted per qualifying event rather than a yearly pool.
ONE_TIMEA single, non-recurring allotment.

You cannot delete a type while it has active requests (pending, or approved with a future end date). Older, finished requests keep working: their type is detached and shown as a deleted type.
