Calendar event template (admin)

The calendar event template controls how synced leave reads on everyone's calendars. It sets one title, one description, and one busy status for the whole workspace, so a leave event looks the same whether a teammate syncs through Google Calendar or an iCal feed. You need the Manage company settings permission to edit it.

Open the editor

In the admin area, go to Settings and open the Calendar template tab. You get a title field, a description field, a status choice, and an all-day toggle, with a live preview that updates as you type.

Title and description

Write plain text and drop in placeholders where you want real values. Click a placeholder chip to insert it. Ferio fills each one in per request when it builds the event:

• {user_name}, {first_name}, {last_name} for the person.
• {pto_type} for the leave type, {team_name} for their team.
• {start_date}, {end_date} and {days} for the dates and working-day count.
• {note} for the requester's note, and {tenant_name} for your company.

The default title is {user_name} - {pto_type}, which reads as something like Anna Szabó - Annual Leave. The description is empty by default; leave it blank if you would rather keep events terse. Anything you do not want shown, simply leave out.

Keep the title short. Some people share their calendar widely, so avoid putting sensitive detail like the note into the title if privacy matters in your workspace.

Busy status and all-day

Choose how the event marks the person's availability: Free leaves them bookable, Busy blocks the time, and Out of office shows the out-of-office badge in Google and Outlook. Keep All-day on for typical full-day leave; turning it off gives events a default daytime window instead.

Saving and where it applies

Click Save and the template applies workspace-wide. Google Calendar events pick up the new format on the next sync, and iCal feeds render it on the next pull from each calendar app. It shapes what people see through Connect Google Calendar and the iCal feed.
